An ERP system is the software that encompasses the core operations of a company, such as accounting, inventory, purchasing, payroll, and similar crucial aspects of the business. The ERP system is a single database that holds the records of all these things. Replacing an ERP system is one of the largest undertakings a company can commit to, because every department depends on it, and nothing can be switched off for too long, or it will disrupt the entire operation.
Most of these problems are only seen when the project stops working properly. According to a McKinsey and University of Oxford study of more than 5,400 large IT projects, they run 45% over budget on average and deliver 56% less value than initially promised. When there's complex system migration to be done that encompasses the migration of legacy systems, it can often save time and money to work with an implementation partner from the start, rather than digging yourself into a hole and hiring them later on anyway.
Compliance-heavy industries are another area where a partner is advisable. Validated environments with specific documentation and audit trail requirements mean you often can't take risks on a malfunctioning ERP system. Panorama Consulting's 2026 ERP Report found that more than a quarter of organisations went over budget, usually because they discovered the software didn't fit their business when they’d already committed.
Before you commit
Run through these questions before you decide who is doing the work:
- How many old systems are you switching off, and do any of them hold the same records?
- Are there rules or audits you have to prove you've met, and who is writing that up?
- What is staying on your own servers, and who is building the links to it?
- Has a customer or regulator given you a date you can't move?
- Has anyone opened the old data and checked it for duplicates and gaps?
- Who is teaching staff the new system, and do they have time to do it?
- Does your team know how your industry actually works, or just how the software works?
Choose the Right ERP Partner
Choosing whether to use an ERP implementation partner ultimately comes down to deciding how much complexity your team is capable of managing on their own. A straightforward migration might be feasible, but the more complex your system, the more you need to work with a trusted expert. A realistic assessment of your systems, data, compliance requirements, and internal structure can give you a much better idea of the most appropriate course of action.
